Helpful Hints for Honor Society Information

  1. Finish Membership Selection well in advance of the first deadline of March 3, 2015. When collecting information on your new members you must get the mailing address of the students and of their parents/guardians and the e-mail address of the student. Make every effort to get this information from the student not Datatel. If a student has 2 sets of parents, a set of parents and spouse, etc. you may enter in as many sets of parents/grandparents as needed. The information you submit is used to send invitations to the students and their parents to attend Honors Convocation. The Honors Convocation committee sends personalized letters to the new members addressing the students by their first name. Because the letters are personalized do not put the first and middle name of the student in the first name field (unless they go by a double name). Also, do not put the students first name and middle initial. This will cause the personalized letters to be incorrect. Also, we send each student a reminder e-mail about a week before Honors Convocation which is why we require the students’ e-mail addresses.

  2. You must provide an alphabetical list of your new members to be printed in the Honors Convocation program. The list must be typed in Microsoft Word. The list must be first name first, then last name. For example “Jane Doe” not Doe, Jane. In the top right hand corner put the name of your honor society, the name of the individual announcing the members, with their e-mail and phone number. The list must be e-mailed to Bonnie Money in Creative Services, bmoney@troy.edu and Chair of the Printed Program committee, Dr. Rob Kruckeberg at rkruckeberg@troy.edu.

  4. If your Honor Society is initiating members from off campus use your judgment as to whether or not to include those students and parents to get invitations. Most likely you would not but we would encourage you to include them in the New Member List to go into the program.

  5. Academic Regalia is required for Honors Convocation for the presenter. If you need academic regalia please order it early enough to have it in time for Honors Convocation rehearsal. You may order regalia through the university bookstore. You do not need a cap.

  6. For planning purposes Mrs. Natalie Bryant must know whether or not you will be at Honors Convocation rehearsal and Honors Convocation. Please make every effort to be at Honors Convocation at both. Please send her an e-mail confirming your attendance at both events. Her e-mail is bryantn@troy.edu.

  7. When you announce your honor society here is a sample presentation. Will the new members and officers of Omicron Delta Kappa please stand and be recognized? Omicron Delta Kappa, founded in Washington and Lee University in 1914 recognizes and encourages achievement in scholarship; athletics; campus or community service, social and religious activities, and campus government; journalism, speech and the mass media; creative and performing arts. Exemplary character, responsible leadership and service in campus or community life, superior scholarship, genuine fellowship, and consecration to democratic ideals are the five indispensable qualifications for membership. Membership is a mark of distinction. You may be seated.

  8. If you are just announcing your honor society, you do not need to be in academic regalia for rehearsal.

  9. Honors Convocation, 7 pm. in Claudia Crosby Theater. Academic regalia is required – no caps. At the time of your group’s initiation, please stress to your members to attend Honors Convocation, where they will be asked to stand and be recognized. Please make every effort to make sure your new members attend Honors Convocation. You will be embarrassed if you recognize you group and no one stands to be recognized. Ask them to invite their parents to attend. Please be in the lobby by 6:30 p.m. for lineup.

 

Helpful Hints for Award Recipient Submission

  1. Your department/honor society should have selected your award recipient by March 2nd. If your award requires a Datatel query in order to determine the winner please submit that query by January 9th. You must follow the criteria of the individual award and the Rules and Procedures for Honors Convocation Awards.
  2. Once you have selected your award recipient meet with him/her and fill out the Individual Award Form with the student. The award form requires information from you and the student so please do this together. EVERY piece of information on the form is used either in the planning of Honors Convocation, the mailing of invitations, or the preparation of publicity releases, etc. When a piece of information is left off it causes extra work on behalf of the committee members. It is most important that the address, email, and phone number of the student be provided by the student. DO NOT use information from the Datatel database. The student’s name must be spelled correctly as it is to appear in the program. Parent/spouse information must be provided. You will submit the individual award form online. This is ALL you have to turn in to the Honors Convocation Committee.
  3. Inform your recipient that they must go to University photography to have their picture taken for the Wall of Honor in the Trojan Center. Pictures will be taken from 8:30 am to 11:30 am, and from 1:00 pm to 4:00 pm. No appointment is necessary. An academic robe will be provided for them to wear for the picture. If your student can’t have their picture taken during these time periods, call Kevin Glackmeyer at ext. 3236 to schedule an appointment. If your student absolutely can’t have their picture taken, please notify Barbara Patterson at bpatters@troy.edu.
  4. You must wear academic regalia to Honors Convocation and rehearsal.
  5. For planning purposes Natalie Bryant must know whether or not you and your award recipient will be at Honors Convocation rehearsal and Honors Convocation. Please e-mail her by April 30th confirming your attendance and your student's attendance at both events. Her e-mail is bryantn@troy.edu.
  6. Honors Convocation rehearsal serves two purposes. The first is to help us and the award recipients see the flow of the program and to have publicity pictures taken with the Chancellor for hometown news releases. Please make sure you have notified your award recipient to be present at this time. Remember that in your award presentation, you must give a description of the award and name the winner, not a description of the winner. You should be prepared to have your picture taken with the recipient for a hometown press release. Be sure to have your recipient dress appropriately for rehearsal (they will be given an academic robe for the picture) and you should have your academic regalia and you should also have with you the award that will be given.
  7. Honors Convocation will be held at 7:00 p.m. in Crosby Theatre. Remember you must wear academic regalia (no cap). Please be there at 6:30 pm for line up in the lobby.
