Tuition Assistance Policy
Troy University
Effective January 1, 2008
Purpose
The TROY University Tuition Assistance Program is a benefit available to regular, full-time employees of Troy University – see definitions. The program is coordinated by the Office of Human Resources on each campus.
The Tuition Assistance Program affords eligible participants the opportunity to take courses at one of the campuses of Troy University at a reduced cost. Applications for Tuition Assistance should be obtained online under the Human Resources section of the University website and returned to the campus Office of Human Resources after registration each academic term. Courses taken for “non-credit” are not covered by Tuition Assistance.
Employees and dependents may take distance learning courses as part of the Tuition Assistance benefit. However, this benefit is available only up to the normal, Alabama campus, in-state tuition rate. The surcharge for distance learning (the amount charged over and above regular tuition) must be paid by the employee. Only semester or term based courses fall under Tuition Assistance. Extended time learning contracts and independent studies are not covered by this policy.
If full, or partial, tuition is provided by some other Troy University source (other than Troy Tuition Assistance) then that source must be applied to tuition first. If full tuition is paid by some other source, the tuition assistance benefit does not apply. Should the eligible participant’s tuition cease to be covered by another source for any reason while the participant is still eligible for Tuition Assistance, Tuition Assistance may be utilized at such time.
Definitions
Eligible Participant: A full-time regular employee of Troy University or the dependent of such an employee meeting eligibility date requirement. No part-time, temporary, or adjunct personnel will be eligible for any form of tuition assistance. Employees or dependents funded by Budgeted Restricted Funds (grants, contracts, non-recurring funding) are not eligible for Tuition Assistance unless specifically authorized and budgeted from their funding source.
Dependent: A person who is eligible for Troy University health insurance.
Eligibility Date: Tuition Assistance is effective after one calendar year of continuous full-time regular service. Interim, temporary, and part-time employment does not count toward fulfilling the one-year requirement.
Guidelines
For Employees…
- Credit Hour Limit: Nine semester hours per twelve-month period (usually one course each fall, spring and summer semesters). Four credit hours will be covered for courses requiring a one hour associated lab during a semester. The supervisor must approve any course taken during business hours. The supervisor, under unusual or extenuating circumstances, may approve more than one course per term or semester (not to exceed two courses) provided only one course is during business hours and the nine-semester hour per twelve-month limit is not exceeded.
- Employees are allowed to obtain one undergraduate degree and one degree or certification beyond the undergraduate level under Tuition Assistance.
- Tuition: 100% of the cost for tuition (based on the credit hour limit) is waived (except for distance learning courses when tuition is capped at the regular Alabama campus in-class, in-state rate). The employee is responsible for all other applicable fees.
- Grade Point Average: The employee must remain in good academic standing per the Troy University catalog in order to remain eligible for Tuition Assistance.
For Dependent(s)…
- Credit Hour Limit: Tuition Assistance for dependents is limited to course loads approved by their academic advisors.
- Dependents are allowed to obtain one undergraduate degree and one degree or certification beyond the undergraduate level under Tuition Assistance.
- Tuition: 75% of the in-state or out-of-state tuition cost is reduced. Dependent is responsible for all other fees.
- Grade Point Average: The dependent must remain in good academic standing per the Troy University catalog in order to remain eligible for Tuition Assistance.
General Conditions
- Troy University Retirees (and their dependents) are eligible for the Tuition Assistance Program under the same provisions as active employees provided they were eligible on the retiree’s last day of employment.
- Dependents may receive a 75% reduction on in-state and out-of-state tuition.
- Dependents of an eligible participant who dies are eligible to continue the dependent’s Tuition Assistance benefit if they are a senior in high school or have taken the first course under the dependent tuition assistance plan within the 12 months prior to the eligible participant’s death.
- Under current tax laws (always subject to change), employee and retiree undergraduate and up to $5,250 worth of graduate tuition assistance and dependent undergraduate tuition assistance are not considered taxable. Dependent graduate tuition assistance is considered taxable income for the employee or retiree and will be reported on the employee’s IRS Form W-2 or on IRS Form 1099 for retirees.
This policy, effective January 1, 2008, supersedes all previous tuition assistance policies for all Troy University locations. The provisions included in this policy, as well as the policy itself, may be modified or deleted at any time at the sole discretion of Troy University.
Employees should consult the campus Office of Human Resources for specific administration of this benefit.
NOTE: When a class covered by Tuition Assistance is dropped after the free drop/add period, it is the individual’s responsibility to immediately notify Human Resources of the dropped class.
